Reversathon Submission Guidelines
This post should give you all the information you need to submit your stories and artwork for the Reversathon.
The basics
All stories and artwork will be posted anonymously by the mods to the Reversathon communities. Comments will be centralised at IJ with anon commenting enabled.
Please remember to use the reversathon@refugeeblues.com address for the mods as we both have mail forwarded from that address.
Deadlines
Please take the deadline - Monday 16th July - as the actual deadline, and not the date where you start wondering if you can get an extension. We strongly recommend aiming to get your story or artwork in early to avoid those last minute disasters that happen to us all at times. Obviously you're free to submit your contribution as early as you like, starting right now - in fact, we're going to love you forever if you do.
We will be sending out a reminder email approximately ONE WEEK before the deadline as well as posting to the Reversathon communities.
Should you run into any real problems with the deadline, we'll do our best to help. All extension requests must be accompanied by a partial draft of the story or artwork, no exceptions will be made to that. This is the important bit: If we don't receive either a completed entry or a draft with an extension request on the deadline day we will start looking for a backup to take your place.
If at any point you are sure you won't be able to complete your story or artwork for the fest please comment here or email us at reversathon@refugeeblues.com to let us know.
Now, on with the details.
Submission guidelines
Please submit your story or artwork to reversathon @refugeeblues.com by Monday 16th July and include your journal name (or the one you signed up with if you don't have one) in the subject line - that makes it much easier for us to keep track of things. :-)
Remember, the minimum word count for writers is 1000 words. There is no maximum.
The minimum for artists is one piece of artwork.
Your entry must fit the request assigned. Please make sure you have read your recipient's sign up information as well to avoid including their worst squicks!
Please use a beta. We can help find volunteers if you have trouble finding one. The mods will generally fix any typos they happen to spot and let you know, or query anything they aren't sure about, but that's no substitute for a proper beta, especially when we have a lot of submissions to check in a short time. Please make sure your betas know to keep quiet about which story is yours until authors are revealed at the end.
The mods will let you know your submission arrived safely as soon as they can. After that you just need to wait for us to confirm that we have accepted it or ask you to make any changes that are needed to conform to the guidelines. Then you can relax!
Please note that final acceptance of your entry to the fest is at the discretion of the mods. This is very unlikely to be a problem, and only covers extreme situations when we can't find another solution.
Headers
Please include full headers when you submit your story or artwork. Headers should look like this:
Title:
Author: (we will remove this until the reveal)
Recipient: (Fest pseudonym, of course.)
Pairing(s):
Rating:
Warnings: (if any; state if none and please see below for compulsory warnings)
Summary:
You can use this handy tool to build your header for you.
If your entry includes non-con, major character death, bestiality, necrophilia or underage (for our purposes this refers to characters under 18 in sexual situations) then your header must contain warnings for them. Other warnings are at your discretion. Any and all warnings may be obscured so that readers can choose not to see them if they prefer to read without warnings.
'Squick' is not an acceptable warning - please be more specific. The mods can give guidance on this if needed at any stage, as with any of the above.
If an entry may be interpreted as containing the above the mods may ask for a modified version of the warning to be included (e.g. hint of / references to / non-explicit any of the above).
The mods reserve the right to ask you to add other or more detailed warnings if they feel they are necessary. If you include 'slash' (or equivalent) in the warnings, we'll take it out. Don't do it, it's silly.
Author or artist notes
These are optional except for fusions, rewrites of movies or similar. In these cases you must credit the additional source material.
Any notes that include warnings or credit for other source material must be in the header and not at the end of the entry.
If your notes are very long and rambly then either consider posting them to your journal after the reveal instead (we will be happy to add a link then) or put any required info in the header with a note that the notes continue after the story.
If you have text to accompany an artwork entry or you're not sure what to do, please ask the mods.
Any notes which may identify you (such as beta thanks) will be removed until after the writers/artists are revealed.
Artwork
Please submit your artwork in an upload-friendly format such as .png and remember to leave out (or blot out) your signature to preserve anonymity. After the reveal, we can replace the posted version with a version that has a signature.
We will need a preview image that is a reasonable size for a standard LJ entry - the maximum should be 400x300. If you are submitting multiple files then we will generally need a preview image for each, so please reduce the sizes as appropriate. Your preview image may be the whole artwork or a teaser (only part of it) as you prefer.
If your files are very large we may need to ask for an intermediate size to post as well to make them more accessible to everyone.
Formatting for Fic
If your story fits into one LJ post:
Submit your story as a .doc, .rtf or .txt file with full LJ formatting, such as bold, italics, center tags where needed (not Word formatting, please).
(The limit is somewhere around 11,000 words if it's text only, but you can check whether your story fits by making a private-locked test post on your own LJ. LJ will give you an error message if you try to post something that exceeds the limit.)
If your story does not fit into one LJ post:
Please submit your story as a properly coded html page if at all possible - stories longer than one LJ post will be temporarily hosted on fluffyllama's website until the end of the fest. (After that, you can host it wherever you prefer, and we'll change the link.)
Alternatively, astolat offers fanfic conversion macros for Word and Open Office to allow you to convert smoothly without any of the usual evils. If you can, please try to convert your story yourself so you can check the resulting html file over by opening it in your browser to see if it displays all right before you send it to us. Otherwise, we'll convert it for you.
