My name is Kathleen, I've recently been hired to oversee the Public Relations department for Thomas, Inc. I'm in the midst of creating a new communications and PR plan for the current fiasco, as well as a longer term plan going forward. If I could have a moment of your time I'd like to speak with you, very briefly, about this. I assure you the plan does not in any way include references to yourself or your situation. No matter how much damage control we do at this time, the likelihood of someone contacting you or asking questions is high at this time. If it were me I would just say no comment and slam the phone down, repeatedly, but you're a reporter, you know how well that gets translated to print news. Please let me know when a convenient time to speak would be. I look forward to hearing from you.

Dear Mr. Henry,
My name is Kathleen, I've recently been hired to oversee the Public Relations department for Thomas, Inc. My task at the moment is to come up with a plan for dealing with the current mess. While I have no interest in putting you in an awkward situation, in fact I would like you to be able to carry on as normally as possible once the situation calms down. I would like to give you a brief outline and some help in dealing with the fallout that might come from this. I'm under strict guidelines not to refer to you or the rest of your family in my communications and I intend to adhere to that, it is more than appropriate. Unfortunately I can only control what is coming out of this, not what may be coming in.
In no way do I want you to feel like you owe any kind of explanation to anyone there will be more than one ambitious people who are looking for an explanation from you. I want to help you keep them at bay. I'm working for Thomas, Inc. The company is my first priority, and unfortunately we've all seen lately that there are some who think personal is the same as business. Consider this a crash course in media training :-). I know you're busy and young and interested in anything OTHER than this, but if we could find some time to talk I can give you some pointers in case you are approached.

Dear Mr. Monarch,
My name is Kathleen Ehrlich-Cohen I'm writing to you today from Thomas, Inc. I'm currently in the process of implementing a communications plan for the organization. I'm sure your PR department is hard at work as well, and while I don't necessarily recommend trading roles I do believe that more harm than good will be done if both organizations are singing different tunes. If you're amenable to working together I would be happy to schedule a meeting with you PR department.
I am currently offering media training to the staff here, and would be happy for a joint effort on that front if you have staff you would like to sit in as well. I would also like to reach out to Ms. Audrey Main, I am only speaking to you first as her situation is quite different, as she is an employee of yours I want to ensure that my inquiries and information do not conflict with what your team might be explaining to her. I am not interested in creating complications or confusion, cohesion is the name of the game in a situation like this.
I believe we need to act quickly, I'm available at any time.
