Billy had arranged to meet Vala to take over Zelda’s part of the organisation of her birthday party. He wasn’t entirely sure what had been planned but he supposed that would be what he would find out from the event planner. He was quite excited about it, knowing Zelda it was going to be amazing, though he felt bad that she had needed to start planning it herself.
Sitting down at a small table in the currently quiet coffee shop he began flicking through the ipad he now used for work to see if there was anything he needed to do before Vala arrived.
Vala smiled at the barista serving her, and after some casual flirting and an exchange of numbers she turned to look for Billy, who Zelda had said was taking over looking for her party. Spying a smart looking, young man fiddling with an ipad, she made her way over and introduced herself. "Billy? I'm Vala," she smiled.
Billy had noticed the woman but dismissed her as she had seemed to be busy flirting with the guy behind the counter, looking up he smiled in return, “Oh hi yes, that’s me. Pleased to meet you Vala”
"Hi," Vala stretched out her hand to shake his before sitting opposite him at the table. "How are you?" she asked, putting her latte and handbag down.
“I’m good thanks. Looking forward to seeing what’s been planned so far” he told her, “Yourself?”
"It's been a good day so far," Vala smiled. "Let's make it a bit better, shall we?" She pulled out her pad from her bag and set it on the table. "So when I talked to Zelda we were looking at the 28th of september, has she told you anything different?"
“Nope” Billy shook his head, “That’s the date in all her schedules. I’ve been told no different” he informed her.
"Excellent," Vala grinned. "Well that's already a good start, now she also told me that she wanted to have some alcohol there, I've contacted a friend who runs a bar and we've done some research on themed drinks as well, has she given you an invitation list yet?"
Billy nodded, “Over 21’s only right?” he checked, he had that written on his checklist but it had a question mark next to it. “I have an invite list though it isn’t 100% confirmed as complete yet” he added that to his list.
"Yep, over 21's only," Vala confirmed. "Don't want some kid's parent coming back and suing us for negligence," she joked. "That's ok, but if you could get Zelda to confirm in the next week or so then I can tell my people numbers," she smiled.
“Totally” Billy agreed, “And the wristband things are great but not full proof” he added having experienced those in the past, “I’ll make sure of it. We have a weekly meeting so I’ll pin her down then”
“That would be great,” Vala smiled. “So, has she told you anything about the theme or anything?”
“I’ve been told it’s ‘candy’ based?” Billy said frowning, “Did I write that down incorrectly?”
“Nope,” Vala laughed, pulling up the pictures of the colour scheme that she had gathered inspired by Zelda’s straws on her pad to show Billy. “You know that game called Candy Crush?” she turned her pad towards Billy. “It’s going to be all that sort of candy stripes and colours, like a gingerbread house,” she told him.
“Right” Billy nodded, eyes widening, “Well it’s definitely bright. Kind of like Zelda herself I suppose” he said, “Can you ping me these pictures?” he requested indicating his own ipad.
“Definitely like Zelda,” Vala smiled, the girl was certainly vivacious. “”Sure, just let me find the WiFi in here…” Vala took back her pad and searched for the cafe’s free WiFi. “What’s your email?” she asked, getting ready to send the pictures over.
He gave her his email, “Thanks” he said, “I know you have it all but I like having all the details. Feels like I can do my job better then. And now you have my contact email for anything else we need”
“Absolutely, we both need to be on the same page after all,” Vala smiled at him after sending the pictures across. “Now, food. I have to meet up with the lady I have in mind to do the catering, but her bakery does wonderful work and I hope she’ll be able to do gingerbread men and other kind of desserts as Zelda wanted,” Vala explained. “In fact, I need to get a tasting session organised with Zelda, hopefully sometime next week. Could you see whether she’s free and if I could steal her away for an hour or two one afternoon?” She grinned up at him, looking forward to tasting cakes and things.
"The place with the sparkling lattes right?" Billy replied with a nod, "She has a couple of free afternoons so I will find out which she prefers and let you know"
"Oo, I hadn't heard about those! You know Audrey's then?" Vala asked.
“Really? They got recommended to me” Billy said, “I’ve not managed to go there yet but it’s got a great reputation”
"I've been to try her baked goods, but she never mentioned sparkling lattes! I'll definitely have to make a return visit," she winked.
“So is she as good as her reputation claims?” Billy asked, “I might have to pop on over and have a try” Maybe he could ask Justin to join him as another date.
"Oh my god! Her stuff is divine! You should definitely go!" Vala told him enthusiastically.
Billy laughed, “Okay, I will do. I’ll make a special trip over there soon”
“We both will be,” Vala joked. “Oo, on the subject of food, when you get confirmations of guests, can you try and get any dietary requirements we need to try and cover so I can tell Audrey when I meet her?”
“Of course” he said making another reminder note, “Is there anything else you need to know? I can make sure to ask”
“I can’t think of anything at the moment, but I’ll let you know if anything comes to mind,” Vala smiled. “Umm...music...Now, Zelda and I talked about this and her first choice was Taylor Swift, but she’s on tour this summer, so I suggested we do auditions for some of the local bands so she could see if she liked any of them,” Vala explained with a wry grin. “So, if we could book a time for next week again, probably an evening and put out an open audition call as it were for local talent to attend, then Zelda can choose her entertainment,” she suggested.
Billy nodded, “Oh that’s a great idea” he said, “There’s also Gillian, Zelda’s friend. She’s a musician and she’s staying with Zelda right now while her studio is built. I bet she’d be on board to surprise Zelda with a song or two” he suggested.
"Excellent!" Vala grinned. "That's perfect, the personal touch is always the best," she laughed. "Do you know if she has any other musically talented people in her life?"
“Great, shall I speak to her?” Billy asked not wanting to step on any toes if Vala was going to do that. “Not as far as I am aware but I’ll check”
"That would be great," Vala nodded. "And ask for a set list from her as well please, then we know how much other time we have to fill," she smiled.
“Of course” Billy said, “I’ll set that up and let you know the details as soon as I have them”
"Thanks," Vala smiled at him, ticking off things on her pad. "I could probably do with some help sourcing decorations if you have time? Depending on the size of the venue, we might need a lot, which reminds me, could you see if I can book some time at the hotel to view the function room?"
“Yep, I’m on it. Decorations and hotel” he tapped in the information and prioritised the hotel so that Vala could get that aspect sorted out as soon as possible. “I have time” and if not he’d make it.
"Great, just drop me an email, my phone's always on," Vala told him with a smile. "I can't think of anymore at the moment, is there anything you'd like to ask?"
“Not right now, I’ll get started on these tasks and keep you updated” Billy informed her, syncing his smart phone with his ipad before putting the items away.
"Excellent," Vala grinned, feeling very accomplished as she packed her tablet away. "Well, I'll get back to you once I've arranged the catering and drinks, if you could contact the hotel for a viewing first I'd really appreciate it, followed by the guest list then the rest should unravel itself," she told him confidently.
“Sounds like we have a plan” he grinned, “It was great to meet you Vala and I’ll be in touch real soon” he stood and held out his hand.
"You too," Vala smiled and shook his hand as she stood. "I sense this could be the start of a great partnership," she told him.
